Importing a Work Plan File

Work plans exported from Crop Manager or from the Crop Manager Agronomist may be imported using a compatible comma separated (.CSV) file.

The file will be imported as a work plan into the current cropping year and stock centre with a unique name. You are then recommended to edit the plan entering operator and implement notes(if from a recommendation) and checking that all has been imported correctly.

Caution - the Agronomist recommendation may contain more by the way of job comments than can be displayed in work planning. In these cases the comments are combined together but this may result in some text being clipped and lost.

Report PDF - if the agronomist has sent his recommendation as a PDF file with the same name as this data file, you will be able to view it after you have imported the data. You must have Adobe Acrobat Reader installed, which is on the Farmplan CD, to be able to do this.

Matching file data to Crop Manager on importing

Data Matching - all text matching is NOT case specific. In a number of the cases listed below both an id number and a text name are included in the file. It is expected that non Farmplan derived data will not know the ID numbers and will instead leave these as zeros and use the names. In these cases a match will be sought by name and not the ID number.

Plan Name - when a plan is imported if the name already exists for another work plan, the imported one's name will be automatically modified so that it is unique in the Crop Manager data.

Year name - the file is ALWAYS imported into the Crop Manager CURRENT cropping year. If the year name in the file is different to the current year name, the user is prompted with the file year name and given the option to continue with the import or abort and change the current year before trying again. The Crop Manager year name takes the form "2005/06" (which represents the harvest year 1998).

Stock Centre - the file is ALWAYS imported into the CURRENT Crop Manager stock centre. Only fields set up in Crop Manager for the current stock centre will be searched and matched with those fields being imported. Use different files for recommendations on fields for any other stock centres.

Fields - the field number and split number are used to match each field with those set up in Crop Manager for the current stock centre. If they are both zero or not found then the first text match of field name or reference will be used. If no match can still be found the field is not imported and is listed as such at the end of the importing process. You would have to make a note of this and edit the plan manually by entering an equivalent field. Only a maximum of fifty fields per job will be imported.

Field beds (optional module) - may be imported from a Work Plan export file if the matching bed numbers are in existence in Crop Manager.

Product Heading (type) - matched to a Crop Manager variable cost heading. This is by ID number first. If it is non zero, if it is zero or a match is not found, a match is tried for by heading name. If a match still cannot be found, the Crop Manager product heading of "Other Pests" is used. This will automatically be changed to the correct pesticide heading when the work plan is edited if the product is a pesticide and is already set up in a stock list. Otherwise the product type may be manually changed when the work plan is edited.

Product Name - the stock list for the product heading (found as above) is searched for by the imported product name. If it cannot be found, the product is still put in the work plan but this product is listed as being unmatched at the end of the importing process for the you to see. When the imported work plan is subsequently edited in Crop Manager, all products will again be matched with those in the stock lists by name and heading. If any are still not found in the relevant stock list, you will be prompted to let the program initialise them there. Pack size, price, etc. would then automatically be got from the delivery records when these are recorded. Products do not have to be already in the stock lists to be used in work planning (and in other areas of the system). Only a maximum of ten products per job will be imported.

Product Units - if for any product the imported units are different to those already set up in Crop Manager, the user is prompted with both sets of units and given the opportunity to change the rate accordingly. eg if product X in the recommendation has units of Ml and a rate of 150, but in Crop Manager X has the units Lt, then you will be prompted change the rate to .15 Lt.

Operator and Settings - are only imported from a Work Plan export file not from an exported Agronomist recommendation file. In the latter case you will have to edit them in manually when the plan has been imported. The last directory and file name used are saved and become the default next time you use this function.

When viewing the imported Work Plan in either 'Edit / Browse Plan' or 'Record Work Done', adding an operator to a job will add this operator and any implement, implement setup or tractor to any other jobs in the plan which do not have an operator entered. This can be edited if required.
