To record sales of crops and to remove them from stock you will need to use Output Marketing:
- Go to 'Stock Control'
- Click on 'Actions'
- Then 'Output Marketing'
- In 'Options' select the appropriate heading:
None - If a Primary Output has already been entered in Field Records and you would like to show a sold quantity in Stock Control.
Store Link - If a Primary Output has already been entered and allocated to Store and you now want to sell the output out of the Store (Store Management Module only).
Field Link - If a Primary Output has not been entered, this function will enter the Primary Output in Field Records and show a sold quantity (NB this will result in multiple entries of Primary Output if more than one load is entered).
- In the 'Selected Products' box select the product you are selling.
- On the 'Contracts' tab click on 'Add New'.
- Status is selected from the drop down list.
- 'Contract' will use a default figure or you can enter the actual Contract Number.
- 'Buyer' is selected from a drop down list. To enter a new name, type it in.
- 'Quantity'is the total amount of the contract.
- 'Unit Price' is the contract price, this is for reference only and does not change as the price is updated.
- Enter the correct date.
- Any other data is optional.
- Click on 'Update' to save the data.
- For each contract you need to enter a minimum of one load to record the sale of the crop.
- Highlight the corresponding contract, click on the 'Loads' tab and 'Add new'.
- Enter the relevant information for each column:
Hauler and Vehicle are not necessary but may be needed for traceability
Farm weight is the estimated value
Net Weight is the weigh bridge value, the system will use this figure to show the amount sold
Total Value and Deductions will be entered when you get your receipt
- Click on 'Update'.
Any alterations needed to be made to the Total value for a group of loads, Click on the Payment button. Highlight the particular fields, and amend the Total Net Value and Deductions, once saved this will be proportioned out over the highlighted loads.
