Cancelling Cash Analysis Payments and Receipts
Cash Analysis entries may be cancelled at any time until they have been reconciled through the bank. They are cancelled from the current period's VAT, even if the entry date is in a previous period.
The entry is not removed completely from the accounts. The system will create a 'cancelling' entry, which is a replica of the original entry with all quantities and amounts changed to the opposite sign. Inspectors will display these cancelled and cancelling entries in red with a strike-though.
Making a cancellation:
- Make sure the entry has not been reconciled through the bank
- Go into the transaction that needs to be cancelled
- Click the Cancel Button on the bottom, left corner of the transaction window
- The note in the yellow bar will show the number of the cancelling entry
Editing Cash Analysis Payments and Receipts
Once an entry has been reconciled through the bank, only limited editing is permitted. No financial figures may be altered but you are able to edit any of the coding details, i.e. Heading code, enterprise, search code etc. and the description.
Similarly you may not edit the financial details of an entry in a closed VAT period. Again the coding and description may be altered at any time.
If a data entry period has been closed (in Setup - Open/Close Account Periods) you are only allowed to carry out limited editing, but the account period may be re-opened by going back into Setup - Open/Close Account Periods, and re-ticking the periods. If periods are re-opened, they should be closed again after making your data entry changes to prevent inadvertant editing in the future.
A cancelled or cancelling entry may not be edited.
To edit a cash entry:
- Go into the transaction that needs to be edited
- Double click on the line of text underneath the 'Allocation' heading
- The data entry boxes will appear
- Change the codes or description and click Save
