To record your Road Fuel Scale charge use an Output VAT Journal. The simplest method purely records the VAT amount relating to the scale charge and will be shown in Box 1 and Box 7 of your VAT Return.
- Go to 'Data Entry', 'Journals' and select 'Output VAT Journal'
- The 'Entry Date' will determine which VAT Return the journal will be recorded in
- Setting the journal to 'Office Mode' (button bottom left) will seem to make the journal a lot simpler to enter!

- The first line will automatically be allocated to 'Output VAT'. Click on 'Edit Item'
- You can add to the description if you wish, then enter the amount and click on 'Increase'. This will put the amount into the black 'CR' box
- Click on 'Next Item' and select the appropriate Heading Band and Heading Code. You will probably have a Fuel & Oil code or similar under 'Overhead Expenses'
- Again, add a description if you wish, the VAT status can remain as 'S' for standard, enter the same amount and click on 'Increase'. This will put the amount into the red 'DR' box
- Click on 'Close
- Make sure the journal balances and click on 'Save'
This journal may be used to make a fast data entry template that can be used whenever the scale charge is due – remember to change the date
