Previewing and Printing Reports

Overview

The most comprehensive list of reports can be found under Reports - Report Library, but reports can be previewed or printed from nearly every screen in the program. Access to a report or printout is usually signified by a 'Print' or 'Report' button.

Before producing any reports from the Farm Business program, always check the update date on the screen, and ensure that the update symbol is yellow if you wish to include all entered information.

Printer Setup

Before printing any reports check that the correct printer port and printer are selected. If you wish to temporarily alter the printer details for an individual report (to switch to tractor feed cheques for example), click on the 'Setup' button at the bottom left of the Report Library window. The layout of this screen will depend on the printer drivers that you have installed within Windows.

All of the reports are designed to run on A4 paper, in colour if the printer allows it, and with good quality. For speed, you may wish to produce draft reports in black and white (or greyscale) by temporarily changing the properties of your printer details.

N.B. The new printer details will remain selected until you exit the Farm Business program. The next time that you use the program it will revert to the default printer.

Preview Reports

This allows the selected report to be previewed on the screen in the exact format that it would be produced on paper.

The screen will not have room to display all the information presented. To move around the previewed page use your mouse pointer to drag the arrows or bars in the right and bottom margins.

The preview will have a tool bar in the top left corner:

If the report that is being previewed is more than one page long the arrow buttons at the top will be displayed in black.

The single left and right pointing arrows take you up or down one page. The buttons with an arrow + line take you right to the beginning or end of the document.

The middle button with the tiled pages lets you select which page you wish to display.

The Zoom button controls the size of the document being displayed on the screen. 'Zoom' will give the whole page on one screen.

To close the preview screen click on the 'door' button.

To print the report, click on the 'printer' button.

Print

In order to produce the whole report on paper, first ensure that your printer is switched on and 'on line'. Check that the correct printer is shown as the default printer by clicking 'Setup' on the bottom left of the Report Library.

There are 3 ways to print a report:

  • Go to Reports - Report Library - then highlight the required report and click Print at the bottom of the Report Library window.
  • Click the Printer symbol whilst previewing a report (see above).
  • Change the button bar at the top of the home screen to Accounts(green) by clicking the two little blue arrows on the left end of the bar until 'Accounts' shows. Click the icon for the report required. Click 'Report' at the bottom left of the window you have opened.

You may select how many copies of a report you require by highlighting the report name in the list in Report Library, then clicking the 'More' button next to 'Print' and 'Preview. In 'No. of Copies' type any number up to 99 or use the arrows.
